Document type plays an important role in an SAP system. It is use to distinguish business transactions, and it determines the account type to be posted, where document number is stored and the number range assigned to it. Furthermore, during transaction display it can be used to sort transaction types you want to display.
Please remember that standard SAP delivered many document types that are readily available for use. If you find that there’s still a need to create additional document types, here’s the procedure as your guide:
Transaction Code: OBA7
Path: IMG → Financial Accounting (New) → Financial Accounting Global Settings (New) → Document → Define Document Types for Entry View.
The “Change View – Document Types: Overview” screen appears:
To create document type select ‘New Entries’ button. Or you may copy an existing document types by selecting the reference type and click ‘Copy’ button.
Let’s take a look at the following important fields:
Document type, enter your document type number that is unique from the other existing document types. This classifies the accounting documents and it is stored in the document header portion.
Number range, enter the document number range for the document type you’re creating. Note that the document number range you assign should be existing.
Reverse Document Type, enter the reverse document type that will be created during reversal of transactions with the document. Note that during reversal transactions, entries are automatically created and you don’t assign the document type. The reverse document type you assign here will automatically use by the system.
Account Types Allowed:
You can choose the allowed account types to use the document type. You may select one or more of the following account types:
- Assets
- Customer
- Vendor
- Material
- G/L Account
If you choose all, then the document type can be used by all account types.
Inter-company postings, you may activate this if you want the document type to be used in inter-company transaction postings.
